New legislation changes require new training approaches

We designed and developed a certification program to meet accreditation standards for a national association in the health care sector to roll out online learning modules.

The client: A national association for health care professionals

The problem

  • New legislation required them to develop training, testing and accreditations for continuing education
  • A large amount of content based on legislation, by-laws, ethics and standards needed to be distilled into learning content
  • There was no current LMS or container to house the training or testing
  • Staff needed to be able to manage the LMS, pull reports and track progress

The ask

The client asked that Deveaux Learning Solutions create a training program based on new legislation that regulated the sector of the health care industry. This would be the first of many learning modules to maintain accreditation and licensing for the members.

Map content to standards

Because the legislation was new, there weren’t any existing training materials related to it. We needed to work with current reference materials and incorporate it into the legislation requirements.

Create assessment tools for scoring

A key component of the training was the need for testing and scoring. Members of the association needed to achieve a certain score to meet licensing requirements and standards.

Develop reporting workflows

Staff needed a reporting system that not only showed scores, but attempts, marked questions and automatic updates for the members to get feedback on their attempts to pass for the member files.

Create foundation for future training

This project marked the first of many that would come down the line to ensure members were maintaining continuing education efforts and keeping up with the legislation and standards.

Any systems we built could grow with the organization and be easy enough to manage internally.

The ever-changing nature of legislature and policy meant the training and certification had to be flexible in nature and timely.

Information

Using the most up-to-date information available and being flexible in the approach to newly approved information, containers were built and held for the approved policies.

Training communications

Administrators needed to be able to communicate timely changes to members of the association and keep track of such changes.

Customization

The LMS needed to function in a specific way with regard to the scoring and tracking but the rest of the features needed to be simple and professional.

The process

Working with the new legislation and existing by-laws, ethics codes and policies and procedures documents provided, I was able to parse the materials to determine what led to improved awareness and action of the members and develop training and testing around those aspects.

  • Step 1: Review and update content

    The combination of new and old content meant that old content had to be updated to meet the standards of the legislation.

    Time: 4 weeks
  • Step 2: Curate Content

    Once approved, the content was parsed and developed into updated drafts of internal documentation.

  • Step 3: Assign Activities and Test

    Design and develop learning activities that aligned with the final testing requirements.

    Time: 2 weeks
  • Step 4: Develop LMS

    Upload the content and test the platform for functionality before hand off to the clients.

The results

The entire project took less than three months and resulted in a completed training program, updated internal documents, and a container for future training needs. However, the client didn’t launch their training course right away because the organization changed its name, branding, and needed by-laws to be updated before the training could be launched. Eventually, they reached out to finalize the branding and update the content based on the new changes and were ready to go.

A ready-to-use learning management system that could grow with the association was implemented and staff were trained on how to manage it internally. Some automations were developed to help with certification and emailing members as well.

As part of the project, old documents had to be updated to meet the new legislation standards, resulting in a new set of documents for the organization at all levels. These documents form the foundation of their operations and guide decisions throughout.

Based on the initial training course, the association now has the systems, processes and frameworks necessary to deliver online training to its members, make changes easily, and manage its training and development for continuing education purposes.
